Job Title: Office Administration Assistant

The Role

Reporting to the Office Manager, you will provide administrative support and play a vital role in customer service, organisational strength and smooth running of novosound's office.

Key activities include:

  • Assist with daily office administration functions, liaising with the members of the team as required
  • Assist with the maintenance of all office documentation and registers.
  • Support the preparation and maintenance of the data room and due diligence systems
  • Support the team to arrange meetings and board papers
  • Assis with the back office procurement administration.
  • Be the first port of call for all incoming enquiries and contact by telephone, email etc
  • Support the preparation and use of master template documentation and ensure corporate identity and brand guidelines are maintained throughout the company
  • Receive and direct external visitors
  • Assist with all aspects of all travel requirements including air and ground transportation, hotel reservations, visas (including geographical awareness) and other travel documentation
  • Arrange meeting room bookings and catering requirements for meetings
  • Support the team in the preparation of data and information for meetings using Microsoft packages
  • Make hotel and travel bookings for external visitors where appropriate
  • Maintenance of personnel files & related HR documents
  • Management if mail & shipping including moving goods to and from overseas
  • Maintain company holiday records
  • Maintain all office stationery supplies and ensure facilities are in good working order and to arrange for service and repairs as necessary
  • Assist with time and attendance monitoring including weekly & monthly reporting to senior management.
  • Other reasonable tasks that are within your skills and capabilities wherever reasonably instructed

Required Skills/Experience:

  • Ability to work independently with minimal guidance to drive things forward
  • Outstanding organizational, prioritization and time management skills
  • Experience of senior team level support preferred not essential
  • Must have strong attention to detail
  • Strong communication skills and ability to interact with internal and external partners
  • Must have good working knowledge of Microsoft office suit
  • Works well under pressure in a rapidly changing environment
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive materials/issues
  • Be a problem solver at heart with a genuine interest in helping team members
